More about our boards

Poster Board Hire

Our poster boards give exhibitions, conferences and academic events a clean, professional display surface that puts the content first. Each panel is double-sided and Velcro-friendly, so posters, artwork and printed graphics go up in seconds and can be moved or swapped just as easily.

The finish is smart and neutral, and the modular design lets panels sit flush against one another with no intrusive poles or awkward gaps. The result is a continuous run of display space that looks deliberate rather than improvised.

The range is built to cover the vast majority of requirements, from 2m x 1m panels down to A2 portrait. Our largest boards measure 2 metres high by 1 metre wide, noticeably more usable area than the traditional 3ft x 6ft boards used by many suppliers, giving you room to arrange research posters, information sheets, graphics and signage without crowding. See our sizes page for the full range.

Academic poster sessions are where these boards earn their keep. A0 portrait remains the most common requirement, being the universal standard for academic abstracts across Europe, though A2 is increasingly specified. On a 2m x 1m panel, a standard A0 poster of roughly 1189mm x 841mm sits comfortably at eye level with space above and below for poster numbers, headings, literature pockets or branding.

Our A0 free-standing boards have proved very popular since joining the range. They are light enough for one person to reposition, and they stack, which makes them straightforward to move, store and reconfigure during a busy programme.

We hold large stocks, so we can supply international events at scale as readily as a single-room presentation, and we deliver, install and collect throughout.

Comprehensive service to support organisers

Check out what we can do for your next event.

Poster Board Hire has years of experience supplying venues across the UK. That experience means we can help organisers arrive at the optimum layout for their space, rather than simply dropping off boards and leaving you to work it out.

Every venue has its own quirks. Pillars, fire exits, low ceilings, awkward access, uneven floor space. We've worked in enough of them to know what a room can realistically hold and how delegates will move through it.

The result is a poster session that flows properly, with room to read and room to circulate.

Before you enquire

The questions we get every week.

How many boards do I need?

Roughly one A0 poster per side — so a session with 100 posters needs about 50 boards, plus a few spares. Send us the poster count and the room and we'll work it out against the floor plan.

Why isn't there a price list?

Because the two things that actually move the price — where the event is and when we can get in and out — change with every booking. A per-board figure would be wrong for most people. Tell us the venue, the dates and a rough board count and you'll have a full quote with no hidden extras.

Do you set the boards up?

Yes, and it's in the price. An experienced installer builds them in your layout and comes back to collect. You don't need to handle a panel or find volunteers.

What if my numbers change?

Normal, and usually fine. We hold large stocks, so increasing an order close to the date is rarely a problem — we'll tell you what extra panels cost when we quote, so there's no surprise.

How do posters go up?

Velcro coins or squares on the back of each poster. We supply Velcro with the hire, and can provide commercial reels at trade prices for bigger events.

Can you deliver outside working hours?

Yes. Venues rarely hand over a hall at 9am, so early morning, evening and overnight slots are part of the normal service. Tell us the venue's access window and we'll build the schedule round it.

Flexible 2m x 1m Poster Display Boards

Using the full 2m high x 1m wide display surface provides a generous, Velcro-friendly area suitable for a wide range of poster sizes and formats.

These boards are most commonly used for A0 portrait academic posters, but they can also accommodate A1, A2 and smaller posters in either portrait or landscape orientation. For more information on poster positioning and mounting, please visit our .

We offer both folding display boards and free-standing 2m x 1m boards with feet.

Folding boards are typically arranged in a zig-zag or woven configuration and can be extended to almost any length. A minimum of two connected panels is required for them to stand securely. They are one of our most cost-effective display solutions and are particularly popular with universities, academic societies and conference organisers.

Their simple design also allows for fast installation, making them a practical choice for events where set-up time is limited.

All Our Poster Boards Are Double-Sided

All of our poster display boards can be used on both sides, giving you greater flexibility and helping you make the most of your available space.

Using both sides of the boards can increase your display capacity without increasing the number of panels required, making it a practical and cost-effective option for conferences, exhibitions and other events.

Their clean, simple construction also allows for quick installation and a wide range of layout configurations. Faster set-up can help reduce venue hire time and minimise disruption before and after your event.

Advice on layout

Every Event starts with a Plan

Layout & planning

Need help with layout and planning

Once we have been commissioned, we can help you plan the most suitable display board layout for your event, taking into account the available space, delegate flow and budget.

For larger conferences and exhibitions, we can assist with layout planning, site surveys and venue coordination to help ensure the display is well organised, professional and makes effective use of the available space.

Having supplied display boards to many of the UK's leading event venues, we have extensive experience of working in different halls, conference rooms and exhibition spaces. In many cases, we can also draw on previous floor plans and layouts, helping to simplify the planning process and avoid unnecessary delays.

For smaller events, simply send us your proposed floor plan or room layout. We will be happy to review it and suggest any practical changes that could improve board positioning, visitor flow or the overall use of the space.

Whether you need a straightforward poster display or a more complex exhibition layout, we can help you develop a practical, efficient and cost-effective solution.

Maximising Your Available Space

One of the most common challenges when planning a poster display is underestimating how much space the finished installation will require. Once sensible aisle widths, clear access routes and space at the ends and sides of each row are taken into account, even a large room can fill up surprisingly quickly.

For this reason, we recommend that organisers prepare a layout plan before the event. Even a simple sketch can help identify potential problems at an early stage. Ideally, ask the venue for a room plan that includes accurate dimensions, not just the general shape of the space.

It is also important to check what else will be in the room. Existing furniture, catering points, columns, doors, staging and trade exhibition stands can all affect where poster boards can be positioned.

One of the most effective ways to maximise available space is to place single-sided poster boards around the perimeter of the room. This allows the central area to remain more open and can reduce congestion.

For many events, the best solution is a combination of perimeter displays and double-sided rows. This approach can increase display capacity while still maintaining sensible circulation routes and a comfortable viewing environment for delegates.

Planning guide

Health & Safety and Event Layout Planning

Good health and safety starts with sensible event planning. Simple considerations such as keeping fire exits clear, maintaining unobstructed access routes and allowing sufficient space between displays can make a significant difference to the safe and comfortable movement of delegates.

Most venues are satisfied when these basic principles have been properly considered. However, some venues have more specific rules governing where display boards can be positioned and which areas must remain clear. For this reason, it is always worth checking the venue's requirements during the planning stage — and ideally before finalising your booking — to make sure your proposed layout can be achieved.

Recommended Spacing Between Display Boards

As a general guide, we recommend allowing around 2 metres between opposing rows of display boards wherever the venue permits.

This provides a sensible circulation space for delegates while also allowing sufficient viewing distance for several people to look at posters on opposite sides without creating unnecessary congestion.

Where space allows, we also recommend leaving approximately 3 metres between poster displays and catering stations. Display boards should generally not be positioned immediately beside doors, entrances or other busy access points. This helps prevent delegates viewing posters from unintentionally obstructing people entering or leaving the room.

Working With Larger Exhibition Venues

Large exhibition halls and conference venues often have established health and safety procedures specifically designed for exhibitions, conferences and temporary installations.

Depending on the venue and event, organisers or contractors may be required to provide documentation including:

  • •RAMS – Risk Assessment & Method Statement
  • •Proof of Public Liability Insurance
  • •Details of delivery, installation and dismantling procedures
  • •Information relating to the materials and display equipment being used

We can provide the relevant documentation for our display board installations where required. Our RAMS can cover the delivery, handling, installation and removal of the exhibition boards.

Installation and Removal

A common requirement at larger venues is for installation and dismantling to take place separately from the live event.

Where possible, display boards should be installed before delegates enter the event space and removed only after the event has closed. Organisers should therefore allow suitable access periods within the event schedule for delivery, installation and collection.

Planning these periods in advance helps create a safer working environment for installers while reducing disruption to delegates, exhibitors and venue staff.

Fire Rating Requirements for Display Boards

Fire safety is an important consideration when choosing display equipment for UK conferences and exhibitions. Display boards used within many UK exhibition and event venues are required to meet the appropriate FR1 fire-retardancy standard.

This requirement helps ensure that materials used within exhibition spaces provide an appropriate level of fire resistance and meet the standards expected by venues and event organisers.

The display board systems we supply are suitable for use within professional exhibition and conference environments and are selected to meet or exceed the fire-rating requirements commonly specified by UK venues.

Where required, we can provide supporting information relating to the fire rating of our display boards, together with RAMS and proof of Public Liability Insurance, to assist with venue approval and event health and safety documentation.

If you are unsure about the requirements for your venue, we are happy to discuss your proposed layout and work with you or the venue team to help plan a safe, practical and professional installation.

Velcro-friendly boards

Velcro makes mounting and repositioning posters, graphics and signage quick and straightforward. Simply attach the Velcro to the back of your material and position it directly onto the display board.

We can often provide a complimentary supply of Velcro with your hire order. For larger events or higher quantities, we can also supply commercial-size Velcro reels at discounted prices.

For the easiest option, we recommend self-adhesive Velcro coins or squares. They attach neatly to the back of posters and graphics, helping to speed up installation without the need to cut individual strips of Velcro.

Where is your event being held?

Please provide the venue name, full address and postcode, together with the exact delivery location where possible, such as a room number, exhibition hall or first-floor foyer.

Any information about venue access, loading areas, parking, lifts or restrictions is also helpful and can make delivery and installation much smoother.

What date or dates is your event taking place?

Please let us know the event dates along with your preferred delivery and collection times.

If you require an early morning, evening or out-of-hours delivery or collection, please include this information so we can allow for it in your quotation.

How many display boards do you require?

An estimated quantity is perfectly acceptable at the quotation stage.

We understand that organisers may not know their final requirements when planning begins. We can prepare an initial quotation based on estimated numbers and amend it later as your plans develop.

Do you have a layout or floor plan?

If available, please send us a venue floor plan showing your proposed display board layout.

This helps us understand the installation requirements and ensure the correct number and configuration of boards are supplied. Quotations may be subject to confirmation of the final layout.

Your Contact Details

Please include your name, organisation, email address and telephone number, along with the best way to contact you regarding your enquiry.
